JOB SUMMARY:

The City of Birmingham is seeking Event Setup Assistants for the CrossPlex. Employees in this position are responsible for setting up and disassembling for various events (e.g., weddings, receptions, banquets, conventions) at civic centers or auditoriums. Incumbents in this job class review the setup sheets to determine the setup style (e.g., theater, convention, banquet) and what materials and equipment will be required for the event. Event Set-up Assistants communicate with vendors and clients to ensure the room is set up properly and make changes when necessary to meet vendor needs. Employees in this job class also disassemble events, ensuring to return equipment and materials to the appropriate areas and sufficiently clean the event space.

MINIMUM QUALIFICATIONS:

The following are job-related qualifications that are required for employment consideration for this position:

  • Experience setting up tables, chairs, tablecloths for various events (e.g., receptions, conventions, meetings) by following diagrams and written instructions.
  • Experience in customer service.

TYPICAL JOB DUTIES:

  • Prepares for various events (e.g., weddings, receptions, banquets, conventions) by meeting with the Event Set-up Supervisor to review the setup sheet, determining the equipment needed, ensuring the cleanliness of the room and the equipment, and arranging the tables and chairs appropriately to ensure client needs are met and comply with fire codes.

  • Arranges tables and chairs according to the instructions and/or the diagram provided on the setup sheet so client needs are fulfilled.

  • Moves, loads and unloads equipment using carts, forklifts, hand trucks and/or dollies.

  • Sets up audio/visual equipment and lighting equipment and ensure it is functioning properly so presentations can be provided.

  • Disassembles event setups by folding up tables, chairs, and linens, setting aside soiled linens for cleaning, using cleaning supplies to clean the room and the equipment, and checking the inventory of the cleaning supplies to ensure readiness for future events.

  • Moves all equipment back into the civic center holding areas with the help of laborers and carts (using a forklift if needed) so equipment is available.

  • Performs various maintenance and custodial tasks by inspecting the facility for plumbing, lighting, HVAC, and other issues (clogged/leaking drains or water lines, malfunctioning lights, un-sanitized areas, etc.) to ensure the venue is clean and areas are operational before and after events.

  • Checks the inventory of cleaning supplies and paper supplies and reports shortages to the Event Setup Supervisor to ensure adequate supplies are available.

PHYSICAL DEMANDS:

Job involves moderate physical exertion required for occasional prolonged periods of lifting, carrying, stooping, kneeling, crouching, or crawling. May involve regular lifting of items or objects weighing more than 50 lbs.

WORK ENVIRONMENT:

Work is performed primarily in employer-owned facilities such as an auditorium, conference room/event space, or an athletic facility. Work involves use of various hand tools such as hammer, screwdrivers, wrenches, etc. Work may also involve the operation of equipment/vehicles such as hand-trucks, dollies, forklifts and full-sized utility vans.
